Active cases
Reports, evidence, messages, assignments, and decision history remain available to authorised roles while a case is being assessed, investigated, resolved, reviewed, or lawfully reopened.
Closed case records
Closed records are retained for the approved institutional schedule so that outcomes can be verified, appeals or follow-up can be handled, and accountability obligations can be met. A legal or safeguarding hold may pause normal disposal.
Drafts and invitations
Incomplete drafts, expired invitations, one-time authentication challenges, and temporary upload records are intended for shorter operational periods. Expired or abandoned records may be removed automatically when they are no longer needed.
Security and audit records
Login events, access changes, administrative actions, and integrity records may be retained separately from ordinary case content to investigate incidents and demonstrate accountable use of the platform.
Secure disposal
When an approved retention period ends and no hold applies, records are deleted or rendered inaccessible through controlled processes. Backup copies age out under the infrastructure backup cycle rather than being used as active records.
